What is CRM handoff?

CRM handoff is the step where a submitted form becomes a record in the CRM. When it fails, the funnel looks healthy in marketing tools while sales receives no leads.

Definition

CRM handoff is the transfer of a submitted lead from the form into the CRM — directly, through an integration, or via an automation platform. It is the last step of the funnel and the one marketing dashboards usually cannot see.

When the handoff fails, every marketing metric stays green and sales gets nothing. That gap is why the failure often goes unnoticed for days.

Why it matters

  • Marketing measures submits; sales measures records. A break between them shows up as an argument, not an alert.
  • Handoff failures are frequently partial — one form, one source, or one field mapping — which makes them easy to miss.
  • The leads are usually unrecoverable once the window has passed, so time to detection is the whole cost.

How to detect it

  1. 1Reconcile form submits against CRM records created in the same window, on a schedule.
  2. 2Alert on a widening gap rather than on either number alone.
  3. 3Watch for integration auth expiry, changed field mappings, duplicate rules silently dropping records, and rate limits.

Example

Illustrative scenario: 120 form submits, 78 CRM records. Marketing sees a normal week; sales says leads are down a third. The break is entirely in the handoff.

How Quarkad helps

Quarkad monitors the handoff as its own funnel stage, so a divergence between submits and CRM records is detected as an incident instead of surfacing in a sales meeting.

Frequently asked questions

Why do handoff failures go unnoticed for so long?
Because nothing in the marketing stack is wrong. The form worked, the tracking fired, the dashboard is green — only the CRM knows the lead never arrived.
What breaks the handoff most often?
Expired integration credentials, a changed or renamed field, deduplication rules discarding records, and rate limits during traffic spikes.
